Privacy Policy

1. Scope

This Privacy Policy describes how EmbedCare LLC (“EmbedCare,” “we,” “us”) handles personal information collected through the embedcare.com marketing website (the “Site”). It does not cover partner or patient applications, which carry their own notices, or information governed by a signed partner agreement or Business Associate Agreement (BAA).

2. No protected health information

This Site is a business-to-business marketing site. We do not request or knowingly collect protected health information (PHI) here, and Site forms are for business contact details only. Sample patient data shown in demos is synthetic. Where the platform handles PHI for partners, it does so in the patient-facing application under HIPAA and the applicable BAAs, separately from this Site.

3. Information we collect

Information you provide: when you book a demo, request pricing, use the brand or clinic builder, or contact us, we collect what you submit: typically your name, work email, company or brand name, website domain, and your message or configuration choices.

Information collected automatically: like most websites, we and our service providers collect device and usage data via cookies and similar technologies: IP address, browser and device type, pages viewed, referring pages and UTM parameters, and interactions with the Site (for example, that a calculator or demo booking was used).

4. How we use information

We use personal information to: respond to and follow up on your inquiry (a human follow-up is the point of most of our forms); operate, secure, and improve the Site; understand how the Site is used (analytics); measure and, where permitted, run advertising; and comply with legal obligations. We do not use information submitted on this Site to make automated decisions with legal or similarly significant effects.

5. Cookies, analytics, and advertising

We use Google Analytics 4, deployed through Google Tag Manager, to understand Site usage. Advertising pixels (such as Meta and TikTok) may also run on marketing pages and can share activity data with those platforms; under some U.S. state laws this can count as “sharing” or targeted advertising.

You can opt out of advertising pixels at any time at /privacy-choices (“Do Not Sell or Share My Personal Information”). We honor the Global Privacy Control (GPC) browser signal as an opt-out. You can also block or clear cookies in your browser settings; the Site works without non-essential cookies.

6. How we share information

We share personal information with service providers that run parts of the Site for us (website hosting, analytics, scheduling for demo bookings, email delivery, and customer-relationship tools) under agreements limiting their use of it. We may also disclose information to comply with law, to protect rights and safety, or as part of a corporate transaction. We do not sell personal information for money. Apart from the advertising activity described in Section 5, we do not share it for cross-context behavioral advertising.

7. Retention

We keep lead and inquiry information for as long as needed to handle the inquiry and maintain the business relationship, and analytics data per the retention settings of our analytics tools. We delete or de-identify information when it is no longer needed, unless the law requires longer retention.

8. Your rights and choices

Depending on where you live, you may have rights to access, correct, delete, or receive a copy of your personal information, and to opt out of targeted advertising. To exercise any of these, email anthony@embedcare.com or use /privacy-choices for the advertising opt-out. We will verify requests and respond within the time required by applicable law, and we will not discriminate against you for exercising your rights.

9. Children

The Site is directed at businesses and is not intended for children. We do not knowingly collect personal information from anyone under 18; if you believe a minor has submitted information, contact us and we will delete it.
